Terms of Service
These Terms of Service govern your use of the Huddle platform and website, provided by Huddle Sports Ireland ("Huddle", "we", "us"). By creating an account or using Huddle, you agree to these terms. If you are using Huddle on behalf of a club, you confirm you are authorised to act for it.

1. Who can use Huddle
You must be at least 16 years old to hold a Huddle account; a parent or guardian can consent for a younger member where a club uses that flow, and members under 16 are otherwise managed as club records by the club and by parents or guardians. You must be at least 18 to set up or administer a club. If you set up or administer a club on Huddle, you confirm you are authorised to act for that club and to bind it to these terms. Clubs are responsible for the use of Huddle by their administrators and members.
2. Your account
Keep your login details secure and do not share them. You are responsible for activity that happens under your account. Please give us accurate information and keep it up to date.
3. The service
Huddle provides software to help clubs manage memberships, payments, fundraising, camps and events, and related administration. We grant you a non-exclusive, non-transferable right to use the service for your club's own legitimate purposes, subject to these terms.
Some features described on our website - including the club store, kit ordering and the club lottery - are not yet live. When a feature launches, any additional terms it needs (see Feature terms) will be presented before you use it.
4. Club responsibilities
If you add or manage other people's personal data on Huddle (for example your members), you confirm that you are entitled to do so, that you have any necessary consents and a lawful basis, and that you will comply with data-protection law and your safeguarding obligations, including in relation to children. You are the data controller for your members' data; our handling of it is described in our Privacy Policy and the data processing agreement below.
You must not collect medical, health or other special-category data through Huddle (for example in registration or camp forms) - the platform does not currently support it.
5. Payments and fees
Payments through Huddle are processed by Stripe using Stripe Connect. Your club connects its own Stripe account, and money paid by members settles directly to that account. Huddle is a software provider - we are not a bank, payment processor, money-transmitter or escrow service, and we are not a party to transactions between your club and its members.
By using payments you also agree to Stripe's Connected Account Agreement and applicable Stripe terms. Our fee is a processing fee of 3.25% + €0.10 per transaction, or as otherwise agreed with you; fees are stated inclusive of VAT unless we say otherwise. If a club refunds a member, the original processing fee is not returned. We may change our fees with at least 30 days' notice by email; changes apply to transactions after the notice period.
Refunds, chargebacks and disputes between a club and its members are the club's responsibility; we provide tools to help but are not responsible for them. Nothing in these terms affects the statutory rights of members who pay clubs as consumers - those rights sit between the member and the club.
6. Data processing agreement
This section is the data processing agreement ("DPA") required by Article 28 GDPR and applies whenever Huddle processes personal data as a processor on a club's behalf. The club is the controller; the subject matter, duration, nature and purpose of processing, and the categories of data and data subjects, are those described in our Privacy Policy and arising from the club's use of the service. Huddle will:
- process member personal data only on the club's documented instructions, given through the club's use of the platform, unless required otherwise by law (in which case we will tell the club unless the law prevents it);
- ensure everyone we authorise to process the data is bound by confidentiality;
- apply appropriate technical and organisational security measures, as described in our Privacy Policy;
- engage only the sub-processors listed in our Privacy Policy, remain responsible for them, give reasonable advance notice before adding or replacing one, and allow the club to object on reasonable data-protection grounds (if we cannot resolve an objection, the club may terminate and export its data);
- taking into account the nature of the processing, assist the club in responding to data-subject requests and in meeting its security, breach-notification and impact-assessment obligations;
- notify the club without undue delay after becoming aware of a personal data breach affecting its members' data;
- at the club's choice, delete or return all member personal data within 30 days after the end of the service, and delete remaining copies unless the law requires us to keep them; and
- make available the information reasonably necessary to demonstrate compliance with this DPA, and allow for audits by the club or its mandated auditor, no more than once a year on reasonable notice, at the club's cost.
7. Feature terms
- Club lottery (not yet live). Lotteries in Ireland are regulated by the Gaming and Lotteries Act 2019. When this feature launches, the club will be solely responsible for holding the required Garda permit or court licence, for complying with prize limits and the Act generally, and for ensuring tickets are not sold to anyone under 18. Huddle provides software only and does not promote, organise or operate any lottery.
- Club store and kit (not yet live). When these launch, separate sale terms - including consumer withdrawal and returns rights - will apply and will be presented before use.
- Fundraising drives. The club is responsible for complying with any law that applies to its fundraising, for the accuracy of what it tells supporters, and for how funds are used. Contributions are made to the club, not to Huddle.
8. Acceptable use
You agree not to use Huddle unlawfully, to infringe anyone's rights, to upload harmful or unlawful content, to misrepresent your club or members, to run any lottery or gaming activity without the required permit or licence, to collect data you are not entitled to collect, or to attempt to disrupt, gain unauthorised access to, or reverse-engineer the service.
9. Intellectual property
Huddle, including its software, brand, design and content, is owned by us and protected by law. Your club's data remains yours. You grant us the limited rights needed to host and process that data in order to provide the service.
10. Data protection
Our handling of personal data is described in our Privacy Policy. Where we process member data on a club's behalf, we do so as that club's processor under the data processing agreement in section 6.
11. Third-party services
Huddle relies on third-party services, including Stripe and Google / Firebase. We are not responsible for those services, and your use of them may be subject to their own terms and policies.
12. Availability and warranties
We work to keep Huddle available, secure and reliable, but to the extent permitted by law the service is provided "as is" and "as available", without warranties of any kind, whether express or implied. Support is provided by email on a reasonable-efforts basis.
13. Limitation of liability
To the extent permitted by law, we are not liable for any indirect or consequential loss, or for loss of profit, revenue, data or goodwill. Our total liability arising out of or in connection with the service is limited to the fees you paid to us in the twelve months before the event giving rise to the claim.
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited or excluded under Irish law, and nothing in them affects statutory rights you have as a consumer.
14. Indemnity
You agree to indemnify us against claims, losses and costs arising from your misuse of Huddle, your breach of these terms, or your breach of law (including data-protection, safeguarding, and gaming and lotteries law).
15. Suspension and termination
You can stop using Huddle at any time. We may suspend or end your access if you breach these terms or misuse the service, and we may otherwise end the service or these terms with at least 30 days' notice by email. On termination, you may export your data for 30 days, after which we delete it as described in the data processing agreement, subject to our legal obligations.
16. General
These terms and the documents they reference are the entire agreement between us about the service. If any part of them is found unenforceable, the rest remains in force, and a failure to enforce a term is not a waiver of it. You may not assign these terms without our consent; we may assign them as part of a reorganisation or sale of the business, and we will tell you if we do. Neither of us is liable for failures caused by events outside reasonable control. We may give notices by email to the address on your account.
17. Changes
We may update these terms or the service from time to time. We will post changes on this page and update the effective date, and we will email account holders at least 14 days before any material change takes effect; your continued use of Huddle after that means you accept the updated terms.
18. Governing law
These terms are governed by the laws of Ireland, and the Irish courts have jurisdiction over disputes arising from them or from your use of Huddle. If you use Huddle as a consumer, this does not deprive you of the protection of mandatory rules, or of any right to bring or defend proceedings, in your country of residence.
